The five roles

Everyone in your school has exactly one role, and that role decides everything they can do. The roles form a ladder — each step up can do everything the step below can, plus more:

Student → Teacher → Academic lead → Operations admin → Owner.

  • Owner — full control of the school: settings, branding, domains, billing, people, content, and all finances. Your school always keeps at least one Owner.
  • Operations admin — your full back-office admin. Everything an Academic lead can do, plus handling money (balances, top-ups, financial reports), inviting teachers and students, publishing courses to the Marketplace, and reviewing your school's seller sales and order usage. The only things reserved for the Owner are school settings, branding, domains, and billing setup.
  • Academic lead — your head of academics, with school-wide reach. Creates and assigns courses and lessons, sets curriculum standards, sees academic progress, enrolls students, manages groups, oversees the teaching team, and runs live lessons. An Academic lead never sees finances, can't invite people, and can't publish to the marketplace.
  • Teacher — a classroom instructor. Builds and runs their own lessons, enrolls and manages their own students, creates and manages their own classes, and runs their own live lessons. Teachers have full ownership of their own student roster, while remaining isolated from other teachers' rosters and school financial ledgers.
  • Student — a learner. Takes lessons, submits homework, and follows their own progress.

Legend: ✓ = yes · – = no · own = only their own students, classes, and lessons · any role / teacher & student = which roles that person can assign when changing someone's role.

Financial Inspection vs. Staff Top-Up Authority: Only Owners and Operations admins can inspect financial books, student accounts, seat invoices, and financial reports. However, any active staff member (Teacher, Academic Lead, Operations Admin, Owner) can purchase AI credit top-ups for the school using their payment card to immediately unblock lesson generation.

Seller views follow the same boundary. Owners and Operations admins can review sales and usage for Marketplace orders belonging to their school. They cannot see another school's seller orders, and Academic leads, Teachers, and Students do not receive the seller-order view.

Give one person more or less access

A person's access comes entirely from their role — there are no per-person permission toggles. To give someone more or less access, change their role. For example: to let a Teacher build courses for the whole school, make them an Academic lead; to take finances away from an Operations admin, move them to Academic lead.

Before you save a role change, you can preview exactly what the new role can and can't do.

Open the person's actions

Go to My School → Team and open the Teachers tab. Find the person in the list and click the ⋯ (actions) menu on their row.

Choose "Manage access"

Select Manage access. A panel opens showing the person's current role and a plain-language preview of what that role can and can't do.

Pick a new role and review the preview

Choose a different role. The preview updates live to show the access that role resolves to — so you can confirm it's what you intend before saving.

Save

Save the change. It applies right away — the person sees their new access on their next visit.

Access is tied to the role, not the person. If a role doesn't fit someone exactly, pick the closest role on the ladder — a role always grants everything the roles below it grant, plus its own additions.

Changing roles & who can invite whom

Change someone's role

Changing a role is how you change what a person can do — use the Manage access panel described above: open the person's ⋯ (actions) menu from My School → Team → Teachers, choose Manage access, pick the new role, and save. The change takes effect right away.

A few safeguards protect your school:

  • You can't change your own role.
  • You can't demote the person who invited you.
  • Your school must always keep at least one Owner — the last Owner can't be demoted. Promote someone else first.
  • You can't give someone a role higher than your own.

Who can invite whom

When you invite a new person, you pick the role they'll join as. Inviting people is reserved for Owners and Operations admins:

Academic leads run academics and oversee the teaching team, but appointing staff is an operational responsibility that stays with Operations admins and Owners.

Removing someone from your school

When you disable or remove a member, their elevated access ends everywhere immediately — including on the main Locuto.PRO site. There is no lingering back door from a previous role: every check reads the person's current membership in your school.

The same applies when you move someone down the ladder. The new role takes effect at once; nothing from the old role is left behind.

The person keeps their Locuto account and anything personal to them. What they lose is access to your school's people, content, and — if they had it — finances.

Frequently asked questions

Why can't my Academic lead see costs?

By design. Finances stay with Owners and Operations admins so academic leadership and money management remain separate. If someone genuinely needs both academics and finances, make them an Operations admin — the next step up the ladder, which adds finances on top of everything an Academic lead can do.

I want one teacher to build courses for the whole school.

Change their role to Academic lead. Teachers manage their own lessons; authoring school-wide courses is an Academic lead (and up) capability. There are no per-person course-creation toggles — access follows the role.

How do I stop someone from seeing finances?

Move them down the ladder to a role without finances — for example, change an Operations admin to an Academic lead. Only Owners and Operations admins see money.

Who can invite new teachers?

Owners and Operations admins. Academic leads run academics but don't invite or appoint staff.

Who can see Marketplace seller orders?

Only Owners and Operations admins can see sales and order usage for listings owned by your school. A teacher may contribute lesson content, but that does not give them access to school finances or seller reports.

Can I give one person just a little more access than their role?

No. Access is fixed per role — there are no per-person permission toggles. Pick the role on the ladder that best matches what the person should be able to do.

Can I create my own custom role?

Not yet. Choose one of the five built-in roles.

I removed a teacher but they could still see things — is that possible?

Not through your school. Access is read from the person's current membership on every request, so removing or demoting them takes effect right away, on your branded domain and on the main Locuto.PRO site alike. If they still see something, check two things: whether they hold a membership in another of your schools, and whether what they are looking at is their own personal material, which belongs to their account rather than to your school.
